When you send a campaign, some emails may get flagged as spam. There are numerous reasons why this might happen, and identifying the cause can be challenging.
Building a strong domain reputation takes time and is part of a long-term strategy. A good sender reputation is crucial because it directly affects how email providers like Gmail or Outlook perceive your emails. If your sender score is low, your emails are more likely to be flagged as spam. A high sender score means your emails are seen as trustworthy.
Fortunately, there are several steps you can take to improve it.
New domains
When starting with a new domain, it’s important to start sending campaigns at a slow pace. Spread your campaign over 5 to 8 hours instead of blasting out all emails as fast as possible. This avoids overwhelming mail servers and signals email providers that you’re sending legitimate, non-spammy content.
For the best results, set your sending rate to {list size} / 5 / 60
per 60 seconds.
For example, if you have 1000 subscribers, send 3 emails every 60 seconds (1000 / 5 / 60 = 3.33).
In Mailcoach, you can manually adjust this setting in your team’s settings page under the “Mails” tab.
Frequency
A common reason is that you’re not sending frequently enough. Ideally, you should send a campaign at least once every 30 days to maintain a good sender reputation.
Turn on double opt-in
With double opt-in, subscribers confirm their email addresses, reducing the chances of spam traps, fake signups, and disengaged users. This step builds a more engaged list and contributes positively to your sender reputation.
Keep bounces below 10%
High bounce rates signal to email providers that your list may be outdated or poorly maintained. Aim to keep bounce rates below 10% by regularly cleaning your email list.

Keep spam complaints below 0.1%
Try to keep complaints under 0.1% by sending relevant content, segmenting your audience, and making the unsubscribe link easily accessible. Also, review and refine your content and design to avoid triggering spam filters or annoying subscribers.
